As the Operations Specialist, you’ll be the engine behind the scenes, driving process precision, billing accuracy, and smooth team coordination. You’ll collaborate directly with executive leadership to optimize day-to-day activities and ensure the delivery of seamless, high-quality service. With a direct reporting line to the President and operational alignment with the VP of Technology, you’ll play a critical role in upholding reliability, consistency, and client satisfaction across the board. Core Responsibilities Operational Execution · Handle daily workflows including procurement, asset tracking, data integrity, and contract lifecycle administration to keep the back office running efficiently. · Maintain and optimize client records and service documentation across internal platforms. Billing & Finance Support · Take ownership of all billing functions—from complex, usage-based recurring invoices to time-and-materials and ad hoc project billing. · Ensure clean, timely execution using tools such as Autotask PSA, QuickBooks Desktop, and ConnectBooster, aligning invoicing practices with business goals. Project Coordination · Follow established project management protocols to help drive deliverables across timelines and budgets. · Track task completion and help ensure that milestones are met without a hitch. Executive & Admin Enablement · Provide hands-on administrative support to free up executive bandwidth, managing vendor communications, operational logistics, and internal documentation. · Serve as a trusted right hand to the President, enabling a focus on strategy and growth initiatives. Technical Team Operations · Partner with the VP of Technology to manage task execution across a technical team of five, ensuring streamlined support and reducing internal escalations. · Monitor operational KPIs to support proactive issue resolution and efficient service delivery. Process Optimization & Tool Utilization · Leverage platforms like Datto RMM and Autotask PSA to ensure that processes are followed with precision. · Identify areas for operational improvement and recommend enhancements for better efficiency and scalability. What You Bring to the Table · Proven experience in an MSP or similar fast-moving tech services environment · Strong organizational skills with an affinity for structure, order, and follow-through · Proficiency with professional services tools (Autotask PSA, QuickBooks Desktop, ConnectBooster) · Comfortable working closely with executive leadership and technical teams alike · A proactive, detail-driven mindset with a passion for operational excellence · Punctual, dependable, and grounded in accountability This is more than just a support role—it’s an opportunity to be the operational force behind a dynamic, client-first technology organization.
